How we organize our work processes
Remote work requires more structure and self-discipline than office work. In an office, you can always walk up to a colleague and clarify details, but when working remotely, loss of context and delays due to chaotic communication can be costly.
That’s why we’ve created a system that combines transparency, clear rules, and accountability.
Working principles:
- Transparency in tasks: everyone can see who is doing what.
- Minimum chaotic messages: tasks are set clearly, with a specific request for the required result and deadline.
- Deadlines are set immediately to avoid “floating” terms.
- Everything that can be documented is documented.
Our regular meetings
To keep the team motivated and working in sync even in a remote format, we adhere to a clear system of meetings. All meetings have a specific purpose, a fixed time, and summary documentation in the task tracking system.
- 1:1 for new employees
One week after starting, to check how the adaptation is going, whether the processes are clear, and whether there are any difficulties.
One month after starting — to evaluate the first results, clarify expectations, and plan further work.
- Weekly team meetings
Purpose: to discuss the team’s results for the week and synchronize current tasks.
Format: first a working block, a short update on each participant, then a “flood section” with informal conversations, stories, or memes.
Result: a clear understanding of what has been done, what is still in progress, and a relaxed team atmosphere.
Task checklist
Everyone starts the week by reviewing their board and synchronizing with the team.
If there are any questions, we discuss them early on so as not to drag them out until the deadline.
Thanks to clear communication rules, we avoid unnecessary emails and messages asking, “What’s the status of the task?”
